I. Call to order – 1726
II. Attendance
A. Excomm members – Bob Charlton, Heidi Macneal, Rick Magnus, Bryan Mott, Virginia Plottel, CE Reutter, Peggy Stapleton
B. Guests – Phil Plottel, Misty Richmond, Verale Philips, Tiffany Everett
III. Reports
A. 2008 RG – Misty Richmond – 162 Attendees (38 walk-ins; fewer than last year, probably due to snow). Total bank balance - $4446.67. Some expenses have yet to be deducted. Expected $2500 scholarship donation. There were some unexpected expenses due to animal damage in storage. Final results will be published in the final RG report. 47 pre-registers for 2009 RG.
B. Mencinnatian - Discussion about the necessity to have monthly meeting minutes, financial reports and updates to standing orders appear consistently in the Mencinnatian. Some members feel that minutes could be referenced in the Mencinnatian, directing members to a website for the most up-to-date ExComm minutes; others discussed the need to have minutes printed each month to accommodate those without computer access, or for those who prefer not to use electronic access. Discussion about when an RG chair should be appointed, and whether there should be a formal process in place or simply a normal procedure that is followed from year-to-year.
C. Treasurer – Paulette Wilson (electronic distribution) – Motion to receive for audit the Treasurer’s Report and Mind Games Nov. report by Rick Magnus – 6/0/0 Approved.
D. Membership – Down 1 (5 transfer out, 2 new members, 1 transfer in. and 1 renewal)
E. Mind Games – 128 registrations
F. Scholarship – Applications mailed; due 1/15/2009.
IV. New Business
A. Motion to recognize Jim Fields as the Gen-Y contact person by Rick Magnus – 6/0/0 Approved
B. Activities Planning –
1. Games Night and White Elephant Exchange 1/10/2009 @ CE.
2. Future Excomm meetings – 1/11/09 5PM @ HM (tentative), Feb meeting @ VP (day, TDB)C. Discussion – Welcoming new members – Tiffany Everett proposed and distributed a sample of a new member welcome packet, the purpose of which is to get new members involved in activities, provide general information about Mensa and contact information. There was some discussion about the content of the packet and general agreement that it could be an effective way to reach out to new members.
D. Appoint CE to preside and Bryan Mott to record at the organizational meeting of the 2009 Excomm.
V. Motion by Rick Magnus to recess for the organizational meeting of the incoming Excomm – 7/0/0 Approved.

III. Election of Local Secretary – Nomination of Rick Magnus by Bob Charlton. Nomination of Misty Richmond by Virginia Plottel. Voting is by written ballot. Rick Magnus was elected LocSec by majority vote, secret ballot. Motion to appoint Bob Charlton to Provisional LocSec – 6/0/1 Approved. Motion for officers to retain current positions until the first meeting of Excomm 2009 by Rick Magnus – 7/0/0 Approved
IV. Motion to thank CE Reutter and Bryan Mott for serving on 2008 Excomm by Rick Magnus – 7/0/0 Approved
